Refund and cancellation policy
Last updated: [Insert date]
This page is a drafting starting point and has not yet been reviewed by a lawyer. Bracketed values must be completed before publication — several of them change the legal meaning of the clause.
This policy covers refunds and cancellations for membership fees and event registrations.
Membership fees
- No fee is taken until an application has been approved, so a declined application is never charged.
- Where a fee has been paid, it may be refunded in full if written notice is received within [Insert cooling-off period] of payment and membership benefits have not been used.
- After that period, fees are non-refundable for the remainder of the term, except where the Council withdraws the membership other than for breach.
- Fees are not refunded where membership is withdrawn for breach of the membership terms or code of conduct.
Event registrations
| Notice given | Refund |
|---|---|
| [Insert number] days or more before the event | Full refund |
| Between [Insert number] and [Insert number] days | [Insert percentage] refund |
| Less than [Insert number] days | No refund; a substitute delegate may attend |
If the Council cancels
If the Council cancels an event, registrations are refunded in full or transferred to a rescheduled date, at your choice. The Council is not responsible for travel or accommodation costs, so book flexibly where you can.
Delegations and trade missions
Delegation participation fees are subject to the terms published for that mission, because commitments to counterpart organisations and venues are usually made in advance. Those terms are stated at the point of booking.
How to request a refund
Write to [Insert refunds contact email] quoting your membership number or event reference. Refunds are issued to the original payment method within [Insert number] working days of approval.
